Why this exists
A weak billing message says “we were charged too much, please refund us.” A stronger request shows the invoice, plan, usage report, seat list, contract terms, expected amount, missing proof, and requested outcome. That makes vendor support easier and prevents AI from inventing policy, tax, contract, or refund promises.
Copy/paste refund or credit request card
| Field | What to capture | Review rule |
|---|---|---|
| Tool and account | Vendor, workspace, plan, billing owner, support portal URL, contract/renewal date, and payment method owner. | Verify in the billing/admin portal or signed agreement. |
| Charge proof | Invoice ID, date, statement line, amount, taxes/fees, credits, discounts, duplicate charges, overage line items, and expected amount. | Attach screenshots or source documents; do not rely on memory. |
| Usage evidence | Seat list, last active dates, usage export, API/credit/minute counts, storage, automations, and whether usage was test, accidental, duplicate, or production. | Separate legitimate usage from stale seats, trials, experiments, and accidental automations. |
| Request type | Refund, account credit, overage explanation, duplicate-charge reversal, downgrade credit, contract correction, or usage-report clarification. | Ask for one clear outcome and leave room for vendor policy. |
| Business impact | Cash-flow impact, renewal deadline, service interruption risk, customer data exposure, workflow owner, and whether payment should be held. | Escalate urgent, legal, privacy, or service-continuity issues to the owner first. |
| Decision log | Owner/bookkeeper, request sent date, support case ID, promised response window, next follow-up date, and final resolution. | Record proof before updating budgets, forecasts, or tool-access decisions. |
Vendor-safe request snippets
Billing explanation request: Hi [Vendor Support], we are reconciling invoice [ID/date] for [workspace]. Could you provide the usage and seat details behind [charge/overage], including [specific line item], so our owner/bookkeeper can review it accurately?
Credit request: Hi [Vendor Support], our records show [source-backed issue: duplicate seat / unused trial conversion / unexpected overage / wrong plan renewal]. Could you review whether a refund, account credit, or corrected invoice is available under your policy? Source proof is attached: [invoice/export/screenshots].
Internal hold note: Hold approval for [invoice/tool] until [missing proof] is verified. Do not dispute, refund, cancel, downgrade, or change payment settings from an AI draft alone.
