AI Workflow Access Review Checklist for Small Businesses
Use this worksheet when an AI tool, prompt library, shared inbox assistant, call-summary tool, or CRM add-on starts spreading across the team. The goal is simple: every AI workflow should have a named owner, approved users, approved data, and a human-review rule before customer-facing output leaves the business.
Best fit: owners, office managers, agencies, consultants, and operators who are adding AI tools without a full IT team.
The access rule: no owner, no shared AI workflow
Many small businesses test AI with one login, one shared prompt, and one enthusiastic employee. That is fine for a pilot. It becomes risky when old contractors still have access, staff paste private customer details, or nobody knows who approves outputs.
Step 1: make the AI access inventory

Step 2: review the risky access points
Shared logins
Replace shared passwords with named seats where possible. If that is not possible, document who knows the login and rotate it after role changes.
Customer data
Write the exact data that may be used. Keep payment details, login credentials, medical/safety/legal details, employee records, and sensitive customer notes out of generic AI tools.
Integrations
Check CRM, inbox, calendar, call recording, form, or file-storage connections. Turn off integrations nobody owns.
Offboarding
Remove former employees, contractors, agencies, and test accounts. Confirm the workflow still works after access is removed.

- Stop if staff are pasting credentials, payment data, private customer records, or sensitive employee information.
