Maintenance Photo Evidence Checklist for Property Managers

Use this worksheet before asking residents, vendors, or onsite staff for repair photos — and before AI turns photos into owner updates, dispute notes, chargeback evidence, or resident replies. The goal is useful proof without inventing diagnosis, access, billing, warranty, or safety claims.

Why maintenance photos need evidence rules

Photos can speed up maintenance triage, but they can also create unsupported conclusions. A blurry image does not prove cause, completion, chargeability, tenant responsibility, vendor quality, warranty status, or safety. A property manager needs photo source, date, context, permissions, and a human review path before the photo becomes a decision.

This checklist keeps photo requests useful and resident-safe while giving AI assistants a strict evidence boundary.

FieldWhat to collectStop rule
Issue and unit/contextProperty, unit/common area, work order, issue category, urgency level, and who reported it.STOP AUTOMATION if the issue involves safety, habitability, security, entry rights, fair-housing accommodation, or lease/legal sensitivity.
Photo sourceResident, vendor, staff, owner, inspector, timestamp, channel received, and permission/notice context.Do not reuse photos publicly or broadly without permission and review.
Photo request wordingWhat views are needed: wide shot, close-up, serial/model label, affected area, surrounding context, and optional short video if allowed.Do not ask for unsafe photos, personal/private items, people, minors, documents, keys, gate codes, or sensitive living areas unless manager-approved and necessary.
Evidence notesWhat the photo clearly shows, what it does not prove, missing angles, conflicting notes, and source documents to pair with it.Do not diagnose cause, assign blame, approve charges, deny coverage, or promise completion from a photo alone.
Routing decisionNext owner, vendor dispatch, resident update, owner approval, invoice review, deposit/dispute hold, or professional inspection required.STOP if the next step changes fees, access, warranty, deposit, insurance, or lease/legal position without manager review.

Resident-safe photo request snippets

Thanks for the update. If it is safe and comfortable, please send: 1) one wide photo of the full area, 2) one close-up of the issue, and 3) any label/model photo if this is an appliance or fixture. Please do not include people, documents, keys, codes, or private personal items. A manager will review before confirming next steps.
We received the photo(s). We can use them to help route the request, but they do not by themselves confirm cause, responsibility, warranty, charges, entry approval, or completion. The maintenance team/manager will review and follow up with the next step.
Vendor completion-photo note: Attach the completion photos to work order [ID], confirm date/time, work performed, parts used, unresolved items, and whether a follow-up visit is needed. Do not mark final/chargeable until manager review if the resident disputes the work or photos are unclear.

AI summary prompt for maintenance photos

You are helping a property manager summarize maintenance photo evidence. Use only the verified fields below. Do not invent cause, responsibility, diagnosis, completion, safety status, charges, deposit deductions, warranty coverage, insurance coverage, legal/lease conclusions, or resident intent. Return: 1) what the photo appears to show, 2) what is still unproven, 3) missing photos or source details, 4) resident-safe update text, 5) manager/vendor review items, and 6) a STOP AUTOMATION decision if this should not be summarized automatically.
