Four-touch follow-up cadence

  1. Same day: send one helpful callback or text with the single easiest next step.
  2. Next business day: restate the request and ask for one missing detail, such as photos, address/ZIP, access window, or decision-maker confirmation.
  3. Two to three business days later: offer a simple yes/no path: still need help, pause for now, or close the request.
  4. Final closeout: politely close the loop, record the reason, and stop automated follow-up unless the customer reopens the conversation.
