Reminder rhythm
Send helpful reminders with a clear opt-out path
- Segment by real history: only message customers with a known service, date, warranty, or opt-in relationship.
- Lead with the reason: explain why now matters without false scarcity or made-up safety claims.
- Give one next step: reply BOOK, send photos, choose a window, or ignore if not needed.
- Stop cleanly: respect STOP/unsubscribe, platform rules, and any customer preference stored in the CRM.
Do not use these scripts to cold-text strangers. They are for existing customers/leads where consent, relationship, and platform rules permit outreach.
Copy/paste service reminder text templates
1) Annual maintenance reminder
Hi {first_name}, this is {business_name}. We helped with {service} around {last_service_month}. If you want the annual maintenance/checkup window, reply BOOK and we will send open times.
2) Seasonal tune-up reminder

3) Filter / supply / consumable check
Hi {first_name}, checking in from {business_name}. Based on your last {service}, it may be time to review {filter_or_supply_item}. Reply HELP if you want us to check options, or STOP to opt out.
4) Warranty or callback check-in
Hi {first_name}, this is {business_name} following up on {job_or_product} from {date}. Is everything still working as expected? Reply YES, or reply with what needs attention and we will review.
5) Quote reactivation with no pressure
Hi {first_name}, we still have your {service} quote from {quote_month}. If the project is back on your list, reply UPDATE and we can confirm scope/pricing. If not, no problem — reply CLOSE and we will mark it inactive.
6) Maintenance plan renewal

7) Review-before-send CRM note
CRM note: service reminder sent for {customer_name} / {service} / {last_service_date}. Confirmed consent source: {consent_source}. Next action owner: {team_member}. Stop if customer declines or opts out.
Human review stop rules
- Do not text if the customer opted out, never opted in, or the platform/account rules do not allow it.
- Do not invent maintenance requirements, warranty deadlines, safety risks, discounts, or scarcity.
- Check the last service date, job type, location, and customer status before sending.
- Use exact STOP/unsubscribe language when SMS rules, carriers, or software require it.
- Do not send sensitive diagnosis, billing, or legal/policy claims without owner review.
