The safe AI email reply rule
AI can draft the first version, but a human should approve anything that mentions price, timing, legal terms, refunds, account details, health, finance, warranties, or a promised outcome. Treat AI as a writing assistant, not a customer-service authority.
Prompt rule: if the answer depends on a fact you have not provided, the model should write [VERIFY] instead of guessing.

- Quote follow-up: Ask AI to draft a friendly check-in that restates the quote scope, asks if they want to move forward, and offers one simple next step.
- Appointment confirmation: Draft a short confirmation with date, time, address or meeting link, prep notes, and a reply path for changes.
- Support question: Summarize the issue, answer only known facts, flag anything uncertain as
[VERIFY], and invite one next action. - Referral request: Thank a happy customer and ask for a referral in a low-pressure way, without offering an incentive unless already approved.
- Stale lead nudge: Write a brief “still interested?” follow-up with a helpful option, not fake urgency.
- Review request: Draft a simple thank-you and review request, but do not ask only happy customers or pressure anyone for a positive rating.
