Five safe prompts to test this week

Replace the bracketed variables before use. Remove customer identifiers unless they are required and your tools/privacy policy allow them.

1. Customer follow-up draft

Act as a practical small-business operations assistant for [BUSINESS TYPE]. Draft a [EMAIL / TEXT] to [CUSTOMER TYPE] about [SITUATION].

Use only these facts:
[PASTE FACTS]

Tone: [FRIENDLY / PROFESSIONAL / WARM / DIRECT]
Goal: [BOOK APPOINTMENT / ANSWER QUESTION / REQUEST MISSING INFO / FOLLOW UP ON ESTIMATE]

Rules:
- Do not invent prices, availability, guarantees, discounts, policies, or deadlines.
- If a key fact is missing, write “Needs human confirmation:” and list it.
- Keep it under [WORD COUNT] words.
- End with one clear next step.

After the draft, include a Human Review Checklist with facts, tone, risk, and next step.

2. Service page rewrite

Act as a plain-English website copy editor for a local small business.

Business type: [BUSINESS TYPE]
Service: [SERVICE]
Current copy or notes:
[PASTE COPY]
Audience: [CUSTOMER TYPE]
Proof available: [REVIEWS / YEARS / CERTIFICATIONS / LOCAL AREA / NONE]

Rewrite the copy so it is clearer and more useful, but do not add claims that are not in the notes. Include:
1. A clearer headline.
2. A short service explanation.
3. Three customer-focused bullets.
4. A gentle call to action.
5. A list of missing proof or facts to confirm before publishing.

3. Call notes to follow-up tasks

Turn the notes below into a simple follow-up plan.

Business type: [BUSINESS TYPE]
Lead/customer situation: [SITUATION]
Raw notes:
[PASTE NOTES]

Produce:
1. A one-paragraph summary.
2. Missing information to confirm.
3. Next three follow-up tasks with owner and due date placeholders.
4. A draft follow-up message using only confirmed facts.
5. Risks a human should check before sending.

4. SOP draft from messy steps

Act as an operations assistant. Turn these messy steps into a one-page SOP for [TASK].

Current steps:
[PASTE STEPS]

Output format:
- Purpose
- When to use this SOP
- Inputs needed
- Step-by-step process
- Quality check
- What not to do
- Escalation rule

Use plain English. If any step is unclear, flag it instead of guessing.

5. Weekly insight summary

Summarize this week's small-business notes into useful owner insights.

Business type: [BUSINESS TYPE]
Notes from calls, reviews, emails, or team updates:
[PASTE NOTES]

Please produce:
1. Top three repeated customer questions or objections.
2. One process improvement idea.
3. One marketing/content idea.
4. One follow-up or service recovery opportunity.
5. What information is too thin or risky to conclude from these notes.

Prompt quality scorecard

Score each prompt before making it a team habit

After testing on old examples, score each prompt from 1 to 5. Keep prompts that average 4+ and fix anything with a 2 or lower.

  1. Fact control: The draft used only provided facts and flagged missing details.
  2. Tone match: The output sounded like your business, not generic software copy.
  3. Editing effort: A human could approve it after light edits.
  4. Risk control: It avoided risky claims, policy promises, fake urgency, and sensitive data leaks.
  5. Repeatability: Another team member could reuse it with the variables filled in.

Privacy rule

Do not paste payment details, passwords, full customer records, medical/legal/financial details, or employee-sensitive information into general AI tools unless your policy and vendor terms clearly allow it.

Safer default: use summaries, remove identifiers, and ask the AI to flag missing facts instead of inventing them.
