The 12-point checklist

Choose a safe first workflow

  1. Start with a repeatable draft. Pick a task you already write often: estimate follow-ups, FAQ answers, review replies, SOP drafts, or weekly summaries.
  2. Avoid high-risk decisions. Do not start with legal, medical, financial, hiring, firing, or final pricing decisions.
  3. Name the business context. Tell the AI the business type, customer type, offer, tone, and goal.
  4. Provide the raw material. Include notes, call summaries, form fields, FAQs, or prior approved examples.
  5. Ask for a draft, not an autopilot action. The output should be reviewed before it reaches a customer.
  6. Add a tone rule. Example: friendly, plain-English, no fake urgency, no promises we cannot keep.
  7. Add a fact-check rule. The AI should flag missing facts instead of inventing them.
  8. Test on three old examples. Compare the AI draft with what a reliable human would have sent.
  9. Save the best version as a reusable prompt. Keep variables in brackets so the team can reuse it.
  10. Assign an owner. One person should approve the workflow and update it when it drifts.
  11. Measure one outcome. Track minutes saved, faster replies, fewer missed steps, or better consistency.
  12. Expand only after it works. Add the next workflow after the first one is useful for a full week.

Prompt:

Act as an operations assistant for [BUSINESS TYPE]. Draft a [EMAIL / TEXT / SOP / FAQ ANSWER] for [CUSTOMER OR TEAM MEMBER] using only the facts below. Keep the tone [TONE]. Do not invent prices, dates, guarantees, policies, or availability. If a key fact is missing, write “Needs human confirmation:” and list the missing item. End with a short checklist of what a human should review before sending.
