Find and recover your easiest missed leads
- List every lead source. Calls, voicemails, contact forms, texts, Google Business Profile, Facebook, Instagram, email, referrals, and marketplace apps.
- Check the response owner. Every channel needs a person or role responsible for same-day replies.
- Look back seven days. Count unanswered calls, forms, DMs, estimate requests, and “just checking in” replies that never got sent.
- Tag each lead. Use simple labels: urgent, good-fit, needs info, booked, not a fit, stale, or follow-up later.
- Write one fast first reply. Confirm you received the request, ask one clarifying question, and give the next step.
- Write one stale-lead recovery reply. Be helpful, low-pressure, and specific to the original request.
- Use a three-touch rhythm. Immediate reply, next business day follow-up, and one final helpful check-in.
- Remove guilt and fake urgency. No “last chance” unless it is true. No invented scarcity.
- Add one qualifying question. Ask for location, timeline, job type, budget range, or photos — whichever best moves the lead forward.
- Set a close-the-loop rule. Every lead ends as booked, not a fit, waiting on customer, or nurture later.
- Review before sending. Confirm name, job type, date, price, and policy details before any message goes out.
- Measure one number this week. Track reply time, recovered conversations, booked estimates, or leads with no next step.

Stale estimate follow-up: Hi [NAME], just checking back on your [JOB TYPE] request. If this is still on your list, I can help with the next step. If plans changed, no worries — would you like me to close this out or follow up later?
Human review rule: Confirm the original request, availability, pricing language, and any promises before sending. Never imply a lead is booked until the team has confirmed it.
