AI Lead Scoring Review Checklist for Small Businesses

AI can help sort a messy lead queue, but it should not quietly bury good prospects or invent why someone is a poor fit. Use this worksheet before a team trusts AI lead scores, routing labels, or next-step suggestions.

Use this before AI ranks, routes, or deprioritizes leads

1. Lead source and permission

Fields: lead source, opt-in/permission note, first message, requested service/product, location/segment, contact channel, and any do-not-contact or consent limits.

Stop rule: do not ask AI to draft outreach when consent, channel rules, or source identity are unclear.

2. Score inputs

Fields: budget signal, urgency, fit, location/service area, role/decision-maker, timeline, prior relationship, and missing details.

Guardrail: the score must show which facts came from the lead record. Missing facts stay NEEDS HUMAN REVIEW.

3. Routing label

Allowed labels: same-day review, needs one clarifying question, nurture, not a fit, duplicate/spam, existing customer, or manager review.

Stop rule: AI cannot mark a lead lost, spam, bad-fit, or low priority without a human-readable reason tied to a source fact.

4. Next action

Fields: owner, due time, channel, one next question, follow-up date, CRM note, and escalation trigger.

Review: owner/manager approval is required before sending price, discount, guarantee, legal, financial, safety, availability, or eligibility wording.

Copy/paste AI prompt

Prompt: Review this lead record and create a lead score review card. Use only the facts provided. Do not invent budget, urgency, company size, authority, location fit, service eligibility, intent, buying timeline, consent, or disqualification reasons. If a scoring input is missing, write NEEDS HUMAN REVIEW. Output: lead summary, score inputs with source facts, routing label, one safe next question, review flags, and what a human must verify before sending anything.
