Small-business owners lose time after calls because the next step lives in a notebook, a voice memo, or one person's memory. AI can help summarize meeting notes, but only if the prompt asks for evidence, uncertainty, owners, and review rules.

The goal is not to record everything. The goal is to produce a short working note that helps the team send the right follow-up, update the CRM, and avoid promising something that was never approved.

Privacy rule: paste only the minimum notes needed. Remove payment details, personal identifiers, medical/legal information, and anything the customer would not expect to be processed.

1. Clean summary prompt

Prompt: Turn these rough notes into a clean small-business meeting summary. Do not invent facts. If a detail is unclear, put it under "Needs confirmation." Output: 1) purpose of the meeting, 2) decisions made, 3) customer/team concerns, 4) action items with owner and deadline, 5) follow-up message draft, 6) CRM/update notes, 7) risks or promises to review before sending. Human review rule: check every price, delivery date, policy promise, and customer-specific claim before sending.

2. Customer call handoff format

Template: Customer/company: [NAME OR INITIALS]. Call reason: [REASON]. Urgency: [LOW/MED/HIGH]. Requested outcome: [OUTCOME]. Known constraints: [BUDGET/TIMING/LOCATION]. Promises made: [NONE OR LIST]. Next action: [TASK]. Owner: [ROLE]. Due: [DATE]. Follow-up channel: [EMAIL/TEXT/CALL].

Human review rule: if promises made is not "none," a manager approves the follow-up before it leaves the business.

3. Team meeting action extractor

Prompt: Extract only action items from these meeting notes. For each action item, include owner, due date, dependency, risk if missed, and the exact sentence or note that supports it. If no owner or deadline was stated, write "unassigned" or "no deadline stated" instead of guessing. Notes: [PASTE].

Human review rule: unassigned work must be clarified before adding tasks to a project board.

4. Follow-up email draft

Prompt: Draft a concise follow-up email from these meeting notes. Tone: helpful, direct, and not salesy. Include only confirmed facts, next steps, owner/deadline, and one question if something is unclear. Do not mention internal doubts or private notes. Human review rule: the sender compares the draft with the notes and deletes any invented detail.

5. Weekly note-quality review
