First rule

Never paste a raw AI review reply without checking it.

Public review replies are reputation assets. A fast AI draft can help, but the owner or manager should still confirm the customer name, service facts, promised next step, and tone. Do not reveal private job details, argue in public, invent a resolution, or imply the business has records it does not have.

Safe default: thank the reviewer, acknowledge the specific concern or praise, keep the reply brief, and move sensitive details to a private channel.

Five review response templates to draft with AI

1. Positive review reply

Prompt: Draft a warm public reply to this positive review. Mention the service category only if it is already public in the review. Keep it under 70 words and avoid sounding like a coupon or sales pitch.

Human check: Remove exaggerated claims like “best in town” unless the customer said it.

2. Negative review acknowledgement

Prompt: Draft a calm, non-defensive public reply that thanks the reviewer, acknowledges the frustration, and asks them to contact [PRIVATE_CONTACT_METHOD] so we can review the details.

Human check: Do not discuss private facts in public.

3. Mixed review follow-up

Prompt: Draft a balanced reply to a review with both praise and criticism. Thank them for the positive note, acknowledge the specific issue, and explain one safe next step without overpromising.

Human check: Confirm the next step is real and assigned.

4. Review with incorrect facts

Prompt: Draft a brief public reply that avoids arguing, says we would like to verify the details, and invites the reviewer to contact us privately. Do not accuse the customer of being wrong.

Human check: Keep receipts, addresses, and account notes out of the reply.

5. No-comment star rating

Prompt: Draft a short thank-you reply for a [RATING] star review with no comment. If the rating is low, invite private feedback; if positive, simply thank them.

Human check: Match tone to the rating.

Workflow

Seven-minute review response workflow

  1. Paste the public review into the prompt card.
  2. Add only facts that are safe to mention publicly.
  3. Generate one short draft, not five variations.
  4. Score the draft for fact control, tone match, privacy risk, editing effort, and repeatability.
  5. Have a human owner approve or rewrite it.
  6. Post the response from the official business account.
  7. Log any recurring complaint as an operations issue, not just a copywriting task.
