AI Workflow Owner Matrix for Small Businesses
AI workflows get risky when everybody can use them but nobody owns them. Use this matrix before you add another automation, prompt, tool, or AI-assisted handoff so each workflow has an owner, a reviewer, known data boundaries, and a clear stop rule.

Fill one row per workflow. If a row has no owner, reviewer, data source, or stop rule, the workflow is not ready to scale.

2. Owner and reviewer rules
- One owner: the person responsible for keeping the workflow accurate, useful, and current.
- One reviewer: the person who checks outputs before they affect customers, employees, vendors, pricing, policies, or public claims.
- Backup reviewer: optional, but required if the workflow runs daily or supports urgent customer communication.
- No owner, no automation: do not connect an AI workflow to inboxes, CRM records, forms, chat, or scheduling if nobody owns the result.
3. Data and customer-impact prompts
Use these questions before approving a workflow row:
1. What exact source data can the AI use?
2. What data is forbidden: customer private data, employee data, payment details, passwords, legal/medical/financial/security data, or confidential vendor terms?
3. Will output be internal only, draft-for-review, or customer-facing?
4. What facts must be checked against the original system before use?
5. What claim types must never be invented: prices, deadlines, policies, warranties, diagnoses, legal rights, compliance status, security promises, or ROI?

You are helping a small business create an AI workflow owner matrix.
Known workflows:

For each workflow, propose:
- business outcome,
- workflow owner role,
- reviewer role,
- allowed source data,
- whether output is internal only, draft-only, or customer-facing after review,
- escalation triggers,
- one success metric,
- one stop/pause rule.
Do not invent current owners, private policies, legal requirements, vendor promises, security claims, pricing, warranty terms, or ROI. If a fact is unknown, write "needs owner decision".
5. Monthly review checklist
- Remove workflows no one used or no one reviewed.
- Update workflows when the source data, tool, owner, policy, price, or customer promise changes.
- Move repeated AI mistakes into a correction log and prompt-version change note.
- Pause workflows that save time only by skipping human review on sensitive outputs.
- Keep only workflows with a clear owner, measurable benefit, and review path.
