AI Workflow Weekly Review Agenda for Small Businesses

Use this agenda once a week to decide whether each AI-assisted workflow should be kept, fixed, paused, or retired. It is built for owners who want practical AI help without letting weak drafts, stale prompts, or unreviewed customer-facing work become normal.

When to use this

Run this review for any AI workflow that drafts customer replies, summarizes sales calls, writes website content, updates SOPs, creates quote follow-ups, or touches customer history. The goal is not to slow the team down. The goal is to catch problems while they are still small.

Copy/paste 20-minute review agenda

  1. Open the workflow list. Name each AI-assisted workflow, its owner, reviewer, source material, and customer-impact level.
  2. Check the source facts. Confirm the workflow used approved notes, current policies, real customer history, and current pricing or availability before any output was sent.
  3. Review three examples. Pick one good output, one edited output, and one risky or confusing output from the past week.
  4. Label the risk. Mark each issue as fact risk, privacy risk, tone risk, promise/pricing risk, legal/compliance risk, or workflow-fit risk.
  5. Choose the decision. For each workflow, choose KEEP, FIX, PAUSE, or RETIRE. Do not leave the status blank.
  6. Assign one next action. Update the prompt, tighten the source checklist, retrain the reviewer, remove access, or add a stop rule.
  7. Record the evidence. Save the example, owner, change made, and next review date. Do not invent usage, savings, approvals, or customer outcomes.
