Why this needs a source card
HVAC filter messages sound routine, but they can involve lease responsibility, equipment protection, vendor access, unit-entry notices, warranty-sensitive maintenance, resident health complaints, and documentation for recurring issues. A rushed automation can accidentally promise a visit, diagnose HVAC performance, assign blame, or tell a resident to use the wrong filter.
STOP AUTOMATION: do not let AI diagnose HVAC performance, promise entry or completion times, assign lease responsibility, waive fees, tell residents to alter equipment, or close an airflow/health/safety concern without verified maintenance/manager review.

Resident-safe acknowledgement
Hi [Name], thanks for the note about the HVAC filter / airflow concern at [unit]. We have logged it and will check the maintenance record and applicable property instructions before confirming the next step. We do not want to guess about filter size, access, responsibility, or timing from the message alone.
If the resident asks who pays or who supplies it
We are checking the property record and current instructions for this unit before answering that. If a replacement or visit is needed, we will confirm the approved next step through the official maintenance channel.
