When to use this board

- You need a daily 10-minute review that shows which leads are hot, blocked, stale, unsafe for automation, or ready to close out.

Daily triage workflow
- Pull every source. Check missed calls, voicemail, web forms, inbox, text platform, Google messages, DMs, marketplace apps, and quote pipeline before the daily review.
- Add one row per open lead. Do not bury leads inside notes or chat threads. If a lead still needs action, it gets a board row.
- Assign priority. Emergency and safety items move to a live human immediately. Same-day revenue opportunities get a due time within the workday. Nurture and closeout rows get clear next review dates.
- Assign one owner. If two people are responsible, nobody is responsible. Put one name in the owner column and use notes for collaborators.
- Pick the next action. Choose the smallest useful move: call, text, ask for photo, confirm access, request decision-maker, schedule, send quote, or close out.
- Update CRM labels. Suggested labels:
new-unassigned,same-day-callback,needs-photo,quote-review,waiting-customer,manager-review,do-not-contact,closed-lost,booked. - Review old rows. Anything older than its due time must be reassigned, escalated, or closed with a final helpful note.
STOP AUTOMATION rules
Stop automation and route to a human owner before any AI-drafted reply is sent when the row includes:
- Emergency, safety issue, active leak, electrical hazard, lockout, or health risk.
- Tenant/landlord, property-access, lease, insurance, permit, HOA, legal, refund, warranty, financing, or collections issue.
- Pricing exception, scope dispute, angry customer, bad review risk, promised callback already missed, or manager approval needed.
- Opt-out, wrong number, no SMS consent, platform rules that prohibit off-platform contact, or unknown contact permission.
AI can help summarize the row and draft options, but it should not invent availability, price, diagnosis, approval, warranty coverage, or urgency.
