Use it when a resident reports rude behavior, missed service, inappropriate comments, privacy concerns, discrimination, harassment, entry/access concerns, vendor conduct, security interactions, suspected retaliation, or a professionalism complaint involving staff or a third-party provider.
- Separate what the resident reported from verified facts, staff notes, work orders, access logs, vendor logs, camera/access records, and manager findings.
- Send a neutral acknowledgement that does not admit fault, dismiss the resident, promise discipline, or reveal private employee/vendor information.
- Escalate fair-housing, discrimination, harassment, safety, threat, privacy, retaliation, police, legal, HR, and insurance triggers before AI drafts a detailed reply.
